In alignment to the ISO 19650 standard, we have improved submissions in Fulcrum to help streamline collaboration with the help of workflows. The workflow has four stages – Work-in-progress, Shared, Publish, and Archived. Through these four stages, you can collaborate on a submission with your team, with consultants, contractors, designers, & clients, and have a well-reviewed and agreed upon output at each stage.
Typically, in the WIP stage, you collaborate on the artefacts that are to be part of a submission within your team using Fulcrum’s powerful features. When you decide you are ready to share it with the wider project team, you can move the artefacts in the submission to the Shared stage. In this stage, all the stakeholders can review the artefacts in the submission and suggest changes. This helps them have access to the latest version of the artefacts. Once this is done and the artefacts in the submission are accepted, you can move them to the Published stage. Artefacts that are part of submissions in the Published stage that are accepted can be used for Project Implementation – with all the teams being sure they are working from the final approved versions. From the Published stage, you can move the artefacts to the Archived stage, to hold a record of the project at key milestones.
STAGES OF THE WORKFLOW
WIP |
WIP documents are artefacts that you’re working on within your workspace that are going to be a part of a workflow submission |
|
WIP-> Shared |
Sending a new mail with the ISO 19650 workflow option sends the artefacts to the Shared stage, where they can be Accepted or Declined |

|
Shared -> Publishing |
Once you collaborate on and confirm the artefacts in the Shared stage and you want to finalise the artefacts, you can use the Shared-> Publishing button in the mail to send the artefacts for acceptance to the Publishing stage, where they can be Accepted or Declined |
|
Publish |
If all the recipients of the mail (Via Accept Action) accept the artefacts from the Shared stage, they are in the Publish stage with the status Accepted. The artefacts in this stage are final, published ones, and can be used for implementation. |
|
Publishing -> Archive |
Once the artefacts are in the publishing stage, and their status is Accepted, you can move them to the Archive stage by clicking on the Publishing -> Archive button in the mail |
|
Archived |
Artefacts from submissions stored as Archived serve as a repository of the key milestones of a project at different stages |
