How do I use strcutured filenames when uploading a document?

  • This method entails uploading a document to the site first and then updating the name by either generating a new file name or looking up for the filename in the filename register.

    1. To upload a document, navigate to one of the work-stream libraries and click on Upload document. Select the document and enter the necessary metadata. For detailed step by step procedure on how to upload a document, please refer to the upload document section.

    2. On saving the metadata, you’ll notice this image next to the file () meaning that the filename is invalid. To resolve this, you can perform one of the two options – Lookup Filename Register or Generate a new Filename.

     

    3. To access the 2 options, click on the icon  next to the uploaded file. This will open the Edit properties dialogue (alternatively, you can click on Edit properties on the ITEMS ribbon).

     

    Generate a new Filename:

    1. Click on Generate a new Filename. This will open the following dialog.

    2. Fill in the fields and click Save. This then updates the filename and displays the following.

    3. Fill in the metadata and click ‘Save’. You should now see that the filename is valid.
